You Survived the Launch!  Now What?

After the Reservation Launch
  • Log into your account and review your reservations. Choose the RESERVATIONS link.  Look at your dates and hover over your listing to see the names registered for that reservation.
  • Do you need to add or delete people from your reservation?  Tell us HERE and we’ll be happy to do this for you.
  • Did you or your camping partners create duplicates? Do you have multiple sites during the same camping period?  Let us know ASAP.  An immediate notification will be considered a mistake and fixes for these may result in a refund even if you didn’t book with Flex Rate.
  • Contact us immediately if the dates are wrong, the site # is wrong, or if you intended to have more or fewer people on that reservation.

Edit Guests on your Reservation

If you’d like to edit the people on your reservation, our Guest Services team can take care of that for you.

Guests that you want to add MUST have an account in our system.  If they’ve been to The Woods, they have an account.  If any are new and need to create an account, that can be accomplished here.

📌 For most reservations (other than overflow), the second camper is included in the initial price.  Additional guests after the first two will be charged an additional fee.  Use the Camping Fees Calculator button to determine costs.

FAQs:

  • Can my guests arrive prior to me?  As long as they are on the reservation, we do not have any requirements who needs to arrive first.

  • Do my guests have to stay the entire length of my reservation?  No, they don’t.  They can arrive on days after your initial arrival date, but they cannot leave prior to the minimum nights for the period you booked*.  You can assign the nights each guest will be staying.  Just use the Notes section on the bottom of the form.  *They can leave, but they will not get refunded for the nights they aren’t at camp.

  • I have a cabin. Can my guests tent outside?  Yes, each cabin has limited yard space to erect a tent.  Only one vehicle can park at the cabin.

  • Can my guests have their own RV on my site?  Yes, if the site is large enough to fit more than one RV.  You can see site descriptions here to see the vehicle area.  Please be conscious not to overload the electric as a result of the additional RV.

Cancel a Reservation

To cancel your reservation, please use our Cancellation Form.

Cancellation Policy

  • 15+ days prior to arrival: 90% refund* or credit of deposit towards another date in the same season.
  • 8-14 days prior to arrival: 50% refund* or credit of deposit towards another date in the same season.
  • 7 days or less prior to arrival will forfeit your deposit.

* A refund will only be issued if the reservation was made with our flex pricing rate.  Flex rate follows normal cancellation policy timeframes.

I didn’t book using Flex Rate 😢

If you’re cancelling a reservation and didn’t use Flex Rate or if you’re cancelling in a period too close to your arrival date and won’t receive a refund or credit, you can try to transfer your reservation to another person.  If you’re able to find someone to take over the reservation, they would pay you and we can transfer the reservation for a $15 admin fee.
Most guests advertise offerings like this on The Woods Camping Resort Camping Buddies Facebook Group.  After you’re paid, use our Transfer Form.

Transfer a Reservation

The transfer of a reservation to another person is possible with a $15 administrative fee.  The exchange of camping fees is between the parties of the transfer.  (Venmo, Zelle, etc).

You cannot charge more than you paid.

If you want to advertise your site availability, we recommend you use The Woods Camping Resort Camping Buddies group on Facebook.

Warning!

Do not send anyone payment until you verify they actually have the site reserved and if so, how much they paid towards it.

To verify, send an email to info@thewoods.camp with all parties cc’d asking for verification.

Transfer A Reservation Here

When a reservation is transferred to you, you didn’t purchase the campsite from The Woods Campground, so your payment doesn’t qualify for our refund or credit policy if you want to cancel it. Your only options are to not utilize the reservation or to transfer it to another person.

Do we valet your trailer?

If you transfer a site that has a trailer valet service associated with it, please be sure to alert us that the reservation has been cancelled.  We valet RV’s days in advance, so if your transfer occurs just prior to your original arrival date, it may be too late to cancel your valet charges.

Changing Reservation Dates

Whether you made an error or something else came up, our Guest Services team can help edit your reservation dates for you.

  • Please understand that we cannot guarantee your same site # (or any site) will be available on the new dates you’re requesting.
  • By changing the dates of your stay, your original reservation will be considered a cancellation which will follow our normal cancellation timelines in regards to credit towards your new camping dates
  • If you want to simply add or delete nights from your current reservation, that is a different form found HERE.

  • Note:  Weather forecasts, changes in your job, available days off, weddings, funerals, community health scares, personal health, or family situations do not warrant an exception to our policy.  Consider our flex pricing* to reduce any risk from unexpected circumstances.

*A refund will only be issued if the reservation was made with our flex pricing rate.  The Flex Rate calculation is +15%

  • Do you know your Woods Member ID#?  Create Your Digital Membership Card HERE
  • Don’t know your Woods Member ID#?  Log into your Woods Account and find the section to Create Your Digital Membership Card.

Save your digital membership card to your phone

Once you create it, save it to the files folder or photos on your phone.  Present it to Guest Services upon arrival and we’ll scan it to get you registered and checked-in quickly!
